Coordination duties of JulyAP and IAPril instruction programs will rotate between RISG members.  Here's what to do if it's your turn:

Month and a half before JulyAP/IAPril:

  • Schedule DIRC in TechTime for all Fridays in April or July from 11:30-1:30.  If you need more times, feel free to schedule into the next month, or schedule more than one per week.
  • Send an e-mail to ps-lib to ask for volunteers to teach classes.

Month before:

  • Make final schedule for classes.
  • Email schedule to instructors, and ask them to send you the title & description for their classes to include on promotional materials. Also mention that if they want a rover for their class, they should find one.  If instructors want to record their session, they should follow the instructions here: http://mv.ezproxy.com.ezproxyberklee.flo.org/dirc/video.html
  • Invite instructors to the appropriate day/time scheduled in the DIRC.
  • OPTIONAL: Think about refreshments, and arrange to have refreshments at each session. This can be left up to the discretion of the instructor and they can handle arrangements, or coordinated for all sessions.  If refreshments are provided, include that on any advertising.

Few weeks before:

  • Make posters.  Examples & templates attached, or you can make your own. In the past, we've made one poster that lists all of the classes, as well as individual posters for each of the sessions.  This can be delegated to your local Administrative Assistant.

Week before:

  • Send posters to RISG members to hang in libraries.
  • Advertise series on news blog. Submit to your local news blog person.  You can use past year's sessions as a template.
    • From Ryan, "I take care of all the blog stuff that happens for the JulyAP sessions.  Typically I will post a blog story the previous week and then do a headline on the homepage for the week leading up to the session and will then rotate them out during the entire period. So once you have determined the content (dates, times, session descriptions), let me know so I can put the blog entries together."
  • Email spotlight-lib to advertise each session at the top of the home page. 
  • Email subspec-lib with the list of sessions, and ask them to forward the info to their departments.
  • Email instructors to remind them to bring surveys with them (attach the survey to the message), as well as to input statistics when they're done. NOTE: Surveys are being redone as of summer 2009.  Ask RISG what, if any, survey is appropriate.

 During:

  • Make sure next event posters are hung after each session is over.
  • Add individual sessions to news blog. Submit to your local news blog person.  You can use past year's sessions as a template.
  • OPTIONAL: send spot awards to instructors thanking them for participating.
