This process can be initiated by Project Managers and Project Coordinators. This process will also regularly be spawned from the MUS1 process.
Process Details
This process is used to review and approve Stage 1 Budgets for projects that require R-CRSP approvals.
Start
- The process is usually started by a spawn step in the Memorandum of Understanding (MUS1) process. The process can also be started manually by the Project Manager and Project Coordinator..
- If started by the spawn process some of the process fields will be automatically filled out.
- When Submit is chosen the next step is PM Enter Stage/Attach MOU
PM Enter Stage/Attach MOU
- The Project Manager attaches the Executed MOU to the S1BA process if available at this time and selects the Level of Design.
- When Submit is chosen the next step is Stage 1 MM
Stage 1 MM
- Mail Merge Automation step that creates a Stage 1 Budget document combining information from both the MUS1 and S1BA processes.
- The next step is PM Review MM
PM Review MM
- The Project Manager reviews the Mail Merge document generated by the last step. The Project Manager is also able to edit any fields as needed and Revise the Mail Merge.
- If Reviewed is chosen the next step is Program Manager Hold
- If Revise MM is chosen the next step is Stage 1 MM. This action will recreate a new version of the Stage 1 Mail Merge Document.
Program Manager Hold
- The Program Manager holds the process in this step until they are ready to forward the process for approvals.
- If Submit is chosen the next step is CRSP Approvals/Distributes
- If Revise is chosen the next step is PM Revise
CRSP Approvals/Distributes
- The Contract Admin Manager reviews the accuracy of both the MOU and Stage 1 Budget Documents and combines them into a single document. As this step the R-CRSP Approval Date and Estimate Review Meeting Date are entered.
- If Combine PDFs is chosen the next step is Stage 1 / MOU MM
- If Distributed is chosen the next step is Start 03.01a Budget Approval Process
- If Revise is chosen the next step is PM Revise
Stage 1 / MOU MM
- Mail Merge Automation step that creates a document combining the Stage 1 and MOU Documents.
- The next step is CRSP Approvals/Distributes
PM Revise
- The Project Manager can revise any information or documents that have been entered or attached to the process.
- If Resubmit is chosen the next step is Stage 1 MM
Start 03.01a Budget Approval Process
- This step spawns a PBAP process.
- The next step is Finish
