Agenda:

  1. Writing/Content
    1. Kath reports that the final web materials (with one exception) were turned over to MIT last Friday, ahead of schedule
    2. One topic (Diversity) requires final language from the legal offices before the writing can be completed.
  2. Multimedia Development
    1. Kath delivered the first set of scripts on Monday. Ken felt the scripts looked great and well thought out: they were high level enough to minimize the need to re-record should, for example,  benefits details change.
    2. Kath needed source material guidance for "MIT Medical", the non-health plan related medical benefits. The NEO PowerPoint slide lacked talking points for this subject other than MIT Medical was responsible for this topic. Julienne will touch base with the MIT Medical folks.
    3. The first of two audition sessions were held today
      1. The MIT AV sound engineer indentified several standout performers already
      2. We will receive an audio cd with audio tracks of each person who auditioned
  3. IS&T Update
    1. Ranjani went over the Usability Review results; two documents were delivered and posted on the NEO Wiki site.
    2. Many of the concerns we had already identified
    3. The main issues focused on
      1. Contrast
      2. Vertical spelling of "Community"
      3. Color consistency
      4. Ambiguity of the multimedia overview link and buttons on the Community bubble
  4. Design
    1. Wing had implemented many of the suggested changes from last week's meeting
    2. Issues
      1. Adding clarifying text to the Community bubble in place of "Next". Wing felt that this would undermine the concept of the bubble, which is something for people to play with and to discover. Adding text will remove some mystery from the bubble, and defuse the user's curiosity. Adding text will also contribute to screen clutter. "More" was suggested as an alternative to "Next", but this was also felt to be ambiguous.
      2. Vertical orientation of "Community" in the Community bubble. Usability raised issues of accessibility- that readers could not interpret this text. Bob Wilt pointed out that since the bubble will be done in Flash, readers wouldn't be able to recognize this text even if it were horizontal. Next, Usability expressed concerns about vertical text taking more effort to read.  The group felt that the proper way to view this is not as text but as a graphics image that serves as an anchor for the Community bubble.
      3. Page width. While the size is now closer to 1024, part of the Community bubble will still appear off the screen. The group decided that further squeezing is required to avoid this. Wing will reduce the width of the middle text to accommodate this.
      4. Community bubble width. Wing also confirmed that the size of the Community bubble has been fixed, and text limits have been established. Bob pointed out that Flash won't hyphenate text, so spacing could be an issue. It may be possible to force line wraps by introducing spaces in the text that displays in the middle of the bubble.
      5. Color consistency- have the color of the word "Community" in the Community bubble reflect the color theme of the current main menu item.
    3. Ken stressed that the next design review has to be completed 2 days after Wing releases the design. Only the most minor of changes can be requested, as Wing is scheduled to deliver PhotoShop files to Bob on 7/1.
  5. Development
    1. Logistics- Wing will distribute Photoshop files to Bob. Bob will need the final content from Kath in the form of a Word document.
    2. Bob needs to know details on where test builds should be posted.
  6. Follow-up action items
    1. Jean Samuelson - distribute scripts to people in Benefits for review
    2. Julienne Dean- contact MIT Medical for multimedia source material
    3. Janet - final diversity language for Kath
    4. Laurie/Jackie - coordinate with Bob re: the location of the builds. 
    5. Ken/Jean - provide missing source material for the multimedia overviews
