Description
The Small Show Coordinator ensures The IAP show coordinator makes sure that a small show happens once over IAP and once in the Spring after the mainstage show has been wrapped. More can be organized at the discretion of the current Ensemble, but the SSC would need to organize those as well. In particular, they are responsible for coordinating the process of choosing the show and the director.
Responsibilities
...
2. Find a desirable space for the performances.
3. Reserve the performance space for 6-11pm on the nights of performances.
4. Send a questionnaire to the Ensemble to find out who will be participating and in what way (acting, directing, both), what they hope to get out of scene night, what scene or sort of scene they would like to work on (and why), what character or sort of character they would like to play (and why), who they would like to work with, who they would not like to work with, etc.
5. Meet with the consulting director to discuss how many and which scenes will be performed and who will be involved in each of them. Decide whether there will be a theme for the scene night (eg: modern, Shakespeare's contemporaries, sex and seduction, scenes about women) search for more directors if there is a lack of them.
6. Organize a publicity design (do it or get someone else to do it) and undertake some early publicity such as contacting free on-campus media and publicizing on our town-crier list.
7. Scene groups are responsible for their own rehearsals and their own tech (special effects, sound, props etc.).
8. As the Scene Night gets closer:
a. Find Stage Manager/crew/ushers for the show.have at least one run-through in the space (to work out set changes, scene order, etc.)
b. Ensure that the following things happen: posters go up, publicity email goes out, a lovely program gets made (liaise with scene directors to make sure the right spiel goes in on each scene), an introductory spiel is given at the beginning of each show.
Scenes
Measure for Measure (3.1)
2. The day after strike for the term show, send out an email to ensemble, ensemble-dartes, and ensemble-friends in search of a director and a show. Remind the director that they also need to find a producer and they can be their own producer if absolutely necessary. Performance space and dates (but not necessarily times) should be included. One week will be allotted for this search.
3. A week and a day after strike, if more than one show is proposed, send out a poll to ensemble and ensemble-dartes to vote on the director and show. This email should also encourage discussion of potential pros and cons of each show/director. For example, if a show requires 30 people or if a director is going to be gone for two weeks of IAP, make sure that is emphasized in the email. One week will be allotted for voting. In the event that only one show is proposed, announce the show and the director and proceed with step 5.
4. Two weeks and one day after strike, send an email to ensemble and ensemble-dartes announcing the show and the director.
5. Politely remind the Treasurer to obtain rights, if rights are necessary. This should be done IMMEDIATELY after the show is chosen.
6. Politely remind the producer to find a stage manager. This email should include a line emphasizing that the stage manager does not need previous experience in this area. This is in order to encourage newly speared members to take on positions. (IAP is a great time to try new things.)
7. Politely remind the Officers, director, and producer to coordinate audition times with the stage manager as soon as possible; auditions should occur during or before dead week. Remind them to obtain a room for auditions. Also remind them that this spam should include the following: audition dates, performance dates, a brief summary, what those auditioning need to do (prepare a monologue, wear comfortable clothing, etc.), a poll to see when people are planning on coming, who to contact for conflict auditions, and anything that is needed on publicity as dictated by the rights agreement (the author's name, the rights company's names, etc.).
Tips and Tricks
- Add yourself to ensemble-iap@mit.edu
- Everybody may suggest things; however, it is up to directors to find, research, and propose shows.
- Make it clear in the initial email that directors need to express their interest by writing a proposal detailing:
- Title
- Casting info
- Technical elements
- Royalty fees
- Artistic Vision
- Compile proposals into a document, and send that document out with the poll so members can make an informed decision
- Make it clear in the initial email that directors need to express their interest by writing a proposal detailing:
